Administration Clerk

The Administration Clerk will be responsible for invoicing and monitoring on a daily basis the collection and follow-up of aged client receivables and customer service related accounts receivable tasks for one of our fleets.

Essential Job Duties and Responsibilities

  • Responsible for invoicing customers along with ensuring they have the proper back up required
  • Business to business collection calls, emails and correspondence; providing customer service regarding past due account follow up, processing customer credits as needed and resolving discrepancies and short payments
  • Discuss nature of outstanding balances with customers; provide any and all backup to client to confirm balances and expedite payments; discuss remittance terms; offer/recommend payment plans to satisfy outstanding balance, with management approval
  • Process daily payments (checks or ACH) and post cash receipts to customer accounts
  • Responsible for monitoring and maintaining accounts and for reducing delinquency of accounts
  • Create and record detailed notations daily regarding status of collection activity; schedule when to follow-up with customers; run daily reports and prepare collections letters
  • Investigate and analyze client payment history to determine the next level of follow-up needed
  • Responsible for monitoring and maintaining the unbilled report for
  • Communicate effectively with all departments regarding customer accounts on a timely basis


Educational / Experience Requirements

High School diploma or GED required; two to three years related experience and/or training; or equivalent combination of education and experience; experience working in McLeod is preferred; experience working in the transportation industry is highly preferred.
